It’s easy to fall into shiny object syndrome with software, chasing solutions to manage operational chaos and overwhelm without ever solving the underlying friction.
Now people are vibe-coding (and vibe-launching) apps almost instantaneously that, ahem, all look exactly the same. It’s slop-city, and with talk of an AI-induced SaaS-pocalypse, where small business owners empowered by tools like Claude Code can replace much of the functionality of expensive apps that have long been fueling subscription fatigue, it can be hard to know where to invest effort right now.
Alex and I have been fielding similar questions and concerns from solopreneurs after our Intro to Agentic AI workshop in May:
Is one better than the other for certain types of scheduled tasks?
Do I need to move my business into Notion?
Is it worth the effort? (Often followed by: It seems like a pain, and I don’t want to learn yet another software system; AI alone is already overwhelming enough).
For the last one, I can unequivocally say: yes. For a few reasons:
When you centralize everything about your business into one place, search becomes much faster and more powerful. Instead of wasting time separately scanning docs, sheets, Slack, Airtable, Asana, etc., every piece of information about your business (and life!) is accessible in one place, so you can retrieve what you need, when you need it — even without impeccable organization. Global search about your business (and agents) can actually work.
For that same reason, pointing AI tools like Claude at your Notion workspace works much better too: it already has all the active information about your business in one place, so you don’t have to repeat yourself or start from scratch setting up context files. This includes key databases like your Client Trackers, CRM, Tasks, Content Calendar, SOPs, idea collection bucket, and a reports hub so that all agent output goes in one place (instead of scattered markdown files hidden on your hard drive that team members can’t easily access).
On that related note, Notion externalizes your business mind so that all team members have access to the information they need, too. Everything is customizable and interlinkable. Onboarding is easier. You’ll field fewer questions and remove yourself as the bottleneck for information retrieval. I run my personal life out of Notion too, including tax prep, daily journaling, and appointment tracking.
